These memos are not intended to overwhelm you with a flood of news but just to ensure that our contractors are getting up-to-date information on significant issues. In addition to the new memos that will regularly appear at log-in, all old memos will be archived and accessible via the links at the top of the page.

Memo 5020 Inspection Due Dates

As we explained in MEMO #5002: Inspection Due Dates - 08/18/02, adherence to due dates and regulatory time frames is of the utmost importance to Safeguard and its clients. All monthly inspection results must be submitted in a timely manner, to assure that our clients remain in compliance with the guidelines.

When we introduced the technology of the INSPI program, the amount of time that we found was saved by using the handheld system allowed us to require inspectors to submit inspection results to us within 7 days. This new time frame allowed us a little extra room to manage our processes and assure that our clients are able to view complete and accurate results within their established time limits. The change has been a tremendous boon to us and to our clients, helping us get in and review results much more efficiently.

Now, the release of the INSPI2 program will allow inspectors to transmit inspection results from the field and to receive work orders throughout the day, rather than having to return to the office at the end of the day to send results and pick up new orders. As a result of these new conveniences, we feel that the time is right to again adjust our inspection due dates.

Starting July 1, 2005, all field inspectors will be required to complete and update inspections within 5 days of order. This change should benefit everyone concerned, as it will allow Safeguard additional time to QC inspection updates, help guarantee that our clients promptly receive the information they need to stay in compliance with investor/insurer guidelines, and assure that our inspectors can process more work orders and receive their compensation more quickly.
