Memo 5016 INSP Photo Requirements
As we have explained in contractor memos issued in the past ( Memo #1080 The Importance of Photo Documentation and Memo 1037 SPI Photo Policy ), the importance of photographic documentation in our business cannot be overstated. Photo documentation has always been an essential component of proper and complete documentation in our property preservation department. This memo is distributed to let all of our vendors know that our clients will now require the same photo documentation for property inspections. This is a change from our previous requirements with regard to required photos on property inspections .
Our clients have a duty to demonstrate to their investors (HUD, VA, etc.) that they are taking all appropriate action to monitor and protect these properties. The best, and sometimes the only, evidence documenting their efforts comes from photos showing regular checks of property condition.
Whenever there are damages or conditions present that have already had or could yet have a negative or deteriorative effect on a property, you must submit photos via INSPI documenting the condition and any associated damages. This includes, but is not limited to, any condition that could result in a city citation (grass height/high weeds, debris, vandalism, etc.) or damages at the property.
In addition, please note that a photo is required with every update reporting a first-time vacancy finding.
This is effective upon receipt of this memo. Any results that are submitted without documentation as described above will be held open until photos are received. Any subsequent trips to the property to obtain the required photos of these conditions will not be reimbursed.
If you are at a property and have a question about whether or not something should be documented with photos, please call your regional coordinator from site.
As an additional note, please assure that all your employees and/or subcontractors are aware that Wilshire Mortgage (WILS) requires photos on all initial inspections . We have noticed that a large number of inspections are received in INSPI without the required photo. It is imperative that both the results and the photos are received at the same time and by the assigned due date . If you have sent in WILS results without the required photo, you will be sent a follow-up request. Please contact your Regional Coordinator with any questions.
