MEMO #1046: Jaffa Batches - 07/04/03

Over the past two years, and with your help, the Contractor Website has developed into an information transmission medium that has revolutionized the way we all do business. Thanks to the efficiencies inherent in this paperless environment, we can now process your update, photos, and invoice all at the same time.

If you send in all your order information (update, photos, and invoice) at the same time (within 24 hours of order completion) and your information is complete, we will process your invoice for payment within 2 days of your submission. This will accelerate your payment cycle by approximately 2 to 3 weeks over the previous manner, which required our staff to revisit your invoicing weeks after you had submitted your update.

In addition to above benefits to you, our clients and the investors (HUD/M&Ms) are requiring that bids must have photos justifying the bid and need to be submitted at the same time (as noted in previous memos, it is our (your) responsibility and obligation to prove and justify the bids).

This process of sending in update, photos, and invoice all at the same time is called the Jaffa Batch, after our Chief Operating Officer, Alan Jaffa, who developed this concept. It is a win-win situation for you, for Safeguard, and for our clients.

Jaffa Batch processing allows Safeguard's staff to perform the following tasks during the initial review of your update:

1. Insure that all of the required information has been received
2. Review photo documentation of the completed work
3. Review bids submitted and photos justifying the bid
4. Review of contractor's invoice and approval for payment

Clearly, it is to your advantage to submit your information via Jaffa Batches. We will be monitoring your percentage of Jaffa Batch submissions and are advising you now that non-compliance will affect your order volume.

Currently 80% of our contractors and inspectors are either utilizing the Contractor Web site or are in the training/testing phase of this project. It is our goal that, by year's end, 100% of our contractors and inspectors will be communicating with us through the Contractor Web site.
