MEMO # 1064 Contractor Web Update

We have made additional improvements to Safeguard's contractor web site that will appear on the site on Wednesday, December 3.

Most of the changes in this release were made to assist you in submitting complete updates to Safeguard more efficiently. Other modifications are designed to help us obtain all of the property information required by our clients more quickly. We will still strive, based on the feedback we receive, to develop technology that makes the contractor web site more user-friendly and efficient. Again, we thank you in advance for your continued cooperation.

Following is a summary of the latest changes. Please see the Contractor Web Manual for an in-depth description of each item in the script.

Typing in Comments Section
We have had several complaints that pressing the "Enter" key while typing comments causes the update to be completed and submitted before youre done entering all comments. We have disabled the "Enter" key for this screen only, to allow you to advance to the next question in the script. To exit the comments screen and continue with the script, you must click the "Next" button.

Debris Screen Changes
We have re-designed the debris screen to obtain greater detail regarding debris removal and debris bids. This will enable us to be more consistent and to provide our clients with the most accurate information available. There are now two columns that need to be addressed on each line entered. The "Debris" column will give you the options below, which address the location and type of items present, as well as how you're reporting or bidding them:

  • Int/Ext Debris by Item
  • Int/Ext Debris by CYD
  • Int/Ext Personals by Item
  • Int/Ext Personals by CYD
  • Int/Ext Health Hazards by Item - Infestation Risk
  • Int/Ext Health Hazards by Item
  • Int/Ext Health Hazards by CYD - Infestation Risk
  • Int/Ext Health Hazards by CYD
  • Int/Ext Debris/Health Hazards mixed by CYD
The "Type" column will appear if you bid or report anything "by Item," giving you a list of the most commonly bid items to choose from. This list is attached to this e-mail as a Word document for your reference.

The details screen will still be required, and it will appear the same as it has in the past.

Additional Work Completed
We have added a question to the end of every scripted work order. This question will ask, "Any Additional Work Completed?" If you answer yes to this, you will be given a list of work types to choose from. Please note, if the work order has already addressed a specific type of work, you will not be able to choose this as additional work completed (e.g., a lock change order will not allow additional lock change info, as this should be reported during the regular script). The categories for additional work completed are as follows:
  • Locks (includes pool/hot tub/roof repairs screen)
  • Winterization
  • Boarding/Reglazing
  • Debris
  • Give Access
  • Grass
  • Miscellaneous
The miscellaneous category will provide a free form description field to provide as much information as possible for the completed work and an amount field for invoicing purposes. This category should be used ONLY when the additional work completed does not fit in any other category (e.g., received approval from client to pump water from basement upon arrival).

For additional clarification on the above information, please contact your regional Open Order Coordinator.

Again, thank you for your cooperation with our efforts to use available technology to better serve our clients.
