MEMO
#1052: New Contractor Web Site Information - (08/07/03)
This
memo will advise you that a number of improvements will be
made next week to the Contractor Web site. These improvements
will include additional scripted orders and modifications
to some of the requirements screens, to ensure that all required
information is included in your updates.
In the
past, when you entered an update for a grass cut or winterization
order, you were taken into a scripted Java Applet rather than
an HTML page. Beginning next week, the updating form for all
of the following work orders will feature the Java Applet:
Lock changes
Winterizations
Grass Cuts
Convey orders
Give Access
Fast Track Inspections
If you
are updating any combination of the above (for example, a
work order for lock change, winterization, and grass cut),
the work order update will also included the Java Applet scripting.
The update form will take you through a series of questions
pertaining to the work order type. You will be able to update
us on all completed work and simultaneously submit all necessary
bids. For work orders updated this way, your invoice will
be automatically generated based on your responses.
We've
had some questions from contractors as to where bids and completed
work information should be submitted in the script. The following
provides a brief overview of where information should be entered.
Securing
includes lock change and boarding bids.
Lock
Change includes all lock changes, padlocks, bracing, slidebolts,
slider locks, and barrel bolts.
Boarding
includes all boarding bids, reglazing bids, and screening
bids.
Debris
includes all interior/exterior debris, interior/exterior health
hazards by the CYD, interior/exterior itemized health hazards,
and personals. Please be note that bids to remove autos, campers,
etc. are to be listed under Exterior Debris.
If you
have removed any debris and/or health hazards, you will also
provide this information under debris bids. You will be prompted
to report whether debris was removed or not for every category
of debris you report.
Grass
Cut includes initial grass cut and re-cut bids.
Pool
and/or Hot Tub: Enter information on the Pool/Hot Tub
Info screen. Your responses to the questions on this screen
will determine what bids are required.
Damage:
List under Damages. If there is roof damage at a property,
you should submit all necessary roof repair bids in this section.
Please use each category only once. If you choose to, you
can itemize the eyeball estimate in the description, but please
enter the total eyeball estimate in the correct field.
Miscellaneous
Bids includes bids to water lawns, bushhog, trim shrubs,
remove snow, give access, exterminate, remove appliance doors,
de-board, transfer utilities, treat/clean mold, remove mold,
and demolish. These bids will require a description and dollar
amount.
Other
Bids includes all bids that do not fit into any other
category. This is a free form text where you will enter the
description of the bid and the amount.
All of
the above information is discussed in further detail in the
Contractor Web Manual, a copy of which is attached for your
review. The Contractor Web Manual will be posted as a PDF
file on the website next week when the above changes go live.
Please contact your property preservation regional coordinator
if you have any questions concerning how to submit bids or
update the work you completed.
