MEMO
#1009: Photos Required with All Bids - 9/24/02
HUD has
advised us that supporting photos must now accompany all bids,
including bids submitted on the bidder's letterhead. The M&M
contractors indicate they will enforce this requirement, and
bids will not be approved without supporting photos. This
bid photo requirement is effective for all bids completed
after 09/20/02.
The photos are intended to provide the mortgagee and the M&M
contractor with a visual aid to assist in determining bid
approval. We are hopeful that the submission of these photos
will reduce the number of bids cut by the M&M contractors,
as the photos will provide information needed to verify that
the bid amount reflects the actual work that needs to be performed.
It is imperative that photos be submitted in a timely manner
so that the bid can be updated to the client promptly. Work
orders will not be closed until the necessary photos are received.
You can speed up your submission of the required photos by
using our website. Photos, updates, and invoices all can be
sent at once to Safeguard using the web site. Our web technology
saves a lot of time over faxing and mailing, and this streamlined
process benefits clients, contractors, and Safeguard. You
save film processing and mailing costs; using the website
ensures the information you provide to us is received immediately,
and the payment process can begin that much faster; and the
web site allows us to make this information instantly available
to our clients. For all of these reasons, we would like to
encourage all contractors to consider the benefits of using
the web site. If you have any questions concerning the web,
please contact Andy Shookalook at ext. 1294 or andy.shokalook@safeguardproperties.com.
