MEMO #1003: Grass Cuts - 9/10/02

This memo is to remind all contractors of the importance of reading the entire work order before completing an initial grass cut. Different clients have different specifications for the performance of yard maintenance, and it is extremely important that we carefully follow each client's instructions.

For example, Bank One orders grass cuts when there is a violation on the property. The work order form for a Bank One grass cut advises that up to $500 is authorized to complete an initial grass cut, yet many contractors routinely submit bids under $500. There is no need to await bid approval under these circumstances; in fact, submitting an unnecessary bid causes delays in completing work and reporting to the client and may result in a city citation or other violation.

Another client, Homecomings Financial Network, requires only one grass recut per month. This information is provided on the initial grass cut work order. Several contractors have been completing grass recuts biweekly. We cannot charge a client for biweekly grass recuts when the client has ordered us to perform these only monthly.

Unless otherwise indicated in the initial order, once a property is placed on a contractor's grass cut list, it becomes the responsibility of that contractor to maintain the grass on a regular basis. Grass cuts should be continued until you receive a cancellation request or grass cut season ends in your region. You should not wait for a new grass cut order to perform maintenance recuts. Please be sure to maintain grass cuts on a regular basis to avoid the posting of city violations.

Carefully reading the work order before you begin work will reduce delays and minimize the likelihood of unbillable work being performed in error, as well as help our clients avoid city citations or violations. Your continued cooperation in this regard is sincerely appreciated.
